
Over the years, one of the biggest requests we’ve received from clients is to develop a way to simplify the photo day process by eliminating the order form distribution and collection process & making customer payment easier. Passing out and collecting forms can be a big headache, and how many parents never receive them because they missed that practice, or forget them at home? How many don’t bring their check book, or don't know if their spouse already filled a form out? We’ve all seen just how much the photo day process is slowed down and how much chaos evolves when this happens.
Well, we’ve recently created a system that will enable parents to place their orders prior to photo day, through a secured website, and simply print/bring a receipt with them instead (think airline tickets)!!
There is no one else in the industry offering this service yet.
We believe that this new system will:
- Significantly improve the customer buying experience; showing full-color representations of every product & package and will better educate them on all their choices
- Vastly improve the efficiency of photo day itself; as we won’t have so many parents crowding around a table making selections
- Ease the burden on your league volunteers and coaches, as they will no longer be responsible for passing out order sheets to every team/player
- Increase excitement in photo participation and order averages thereby increasing your fundraiser
So how does the process work? It’s really simple:
- Instead of passing out a hard-copy order forms, you’ll simply e-mail your parents a link to our photo ordering website and place the same link on your league homepage.
- Parents will follow a series of simple steps to view package options and make a purchase.
- After an order has been placed, the parent will be e-mailed a bar-coded receipt with instructions for printing and bringing with them to photo day (not to worry if they lose/forget it – we can handle this on-site, and it’s much quicker than a forgotten hard-copy form).
- Reminder e-mails will be sent ahead of photo day as well
- Our staff on-site will collect the receipt and take the photo
- Traditional hard-copy forms will also be available on-site for parents that do not have e-mail address/home computers or that are more comfortable purchasing in this way.
Perhaps most importantly, there’s no additional cost at all – only benefit!
So what’s required on your part to make it happen? Well, really only one thing - A current, accurate electronic list of e-mail addresses
for your membership.
This is the key to it all, as we’re reliant on e-mail for marketing photo day. We’ve created the e-mail content and instructions, and will manage the entire process with the e-mail addresses you provide. Our e-mail program has great features like professionally formatted messages, scheduled reminders and opt-out capabilities. While links to the photo ordering website should also be placed on your league website and printed on any distributed materials, we believe a proactive e-mail program is the real key.
